Notarization can attest:

  • The identity of the person signing

  • That the signature was witnessed

  • That an oath or affirmation was properly administered

  • That the copy of a document was compared to its original

Notarization does not confirm:

  • That the document is legally correct

  • That the wording meets the receiving party’s requirements

  • That the document is the correct form

  • That the receiving organization will accept it

Our notary public verifies identity and the notarization process — not content.

Common Reasons Documents Get Rejected

Here are some of the most common reasons a notarized document may still be refused:

1️⃣ The Wrong Type of Authentication Was Used

Some organizations require:

  • A commissioner of oaths

  • A notary public

  • Apostille or legalization

If the wrong type of service was used, the document may be rejected — even if properly notarized.

2️⃣ The Wording Didn’t Match Their Requirements

Some institutions require:

Our notary public does not alter or draft wording. If the wording doesn’t meet their standard, they may reject it. If specific wording is required, contact the party asking for your document to be notarized for the wording.

3️⃣ The Document Required Additional Steps

For documents being sent outside Canada, additional authentication steps may be required beyond notarization.

4️⃣ Internal Policies of the Receiving Organization

Banks, courts, government offices, employers, and foreign authorities all have their own internal policies.

Notarization does not override those policies.

Can the Notary Public Fix a Rejected Document?

Our notary public does not change the content of your document or advise you on how to correct it. Any revisions typically need to come from the organization requesting the document.

How to Reduce the Risk of Rejection

Before visiting a notary in Kitchener:

  • Bring written instructions from the receiving party

  • Confirm whether notarization or commissioning is required

  • Ensure you have the correct version of the document

  • Confirm whether additional authentication steps are required

Clear instructions are the most important factor.
